How to Add a New Tenant Profile
Step-by-step guide on creating a new tenant profile. Learn what contact information is required and how to distinguish between a Tenant profile and a Lease agreement.
Before you can draft a lease and collect rent, you must establish the "People" layer of your database by creating a Tenant Profile.
Step 1: Start the Creation Process
- Navigate to the Tenants page using the left-hand sidebar.
- Click the "Add Tenant" button in the top right corner.
- This opens the New Tenant form.
Important: You must have at least one Property with one Unit created before you can add a tenant. If you don't have any units, the form will display a warning.
Step 2: Fill Out Primary Contact Details
You'll need to provide the core identifying information for the primary leaseholder:
Personal Information
- Full Name: Required. Try to use their legal name as it will appear on the lease.
- Email Address: Optional, but strongly recommended. This is how you will communicate with the tenant, send screening invites, and share payment receipts.
- Phone Number: Optional but recommended for urgent communication or maintenance coordination.
Unit Assignment
- Unit: Required. Select the property and specific unit the tenant will occupy. The dropdown shows which units are currently Vacant vs Occupied.
Step 3: Add Emergency Contacts
The bottom half of the form allows you to add Emergency Contacts directly inline. While optional, it is highly recommended you collect this data before the tenant moves in.
You can click "Add Contact" multiple times to add as many emergency contacts as you need. For each, provide:
- Contact Name
- Phone Number
- Email Address

Step 4: Save the Profile
- Review the details for accuracy.
- Click "Save Tenant".
- You will be redirected to the Tenants list, and your new tenant will appear there.
What Happens Next?
You have now created a digital rolodex card for this person. From here, you have two common paths:
- Option 1: Request Screening (Recommended) — If you haven't already vetted them, click "Request Screening" on the Tenants page to send them a secure verification form.
- Option 2: Create a Lease — To formally connect this person to a physical building and define your financial terms, Create a New Lease that binds this new Tenant Profile to their assigned Unit.
