Creating a New Lease / Onboarding Historical Data
How to connect a tenant to a unit by creating a lease contract. Learn how to configure rent amounts, enter backdated leases, and safely manage overlapping timelines.
A Lease is the engine that drives Landager. By connecting a Tenant Profile to a physical Unit, you activate the financial ledgers, auto-update occupancy metrics, and tie maintenance requests to the correct people.
Step 1: Start the Lease Creator
- Navigate to the Leases page using the left-hand sidebar.
- Click the "New Lease" button in the top right corner.
Step 2: Select the "Who" and "Where"
The top section forms the core connection:
- Unit: Select the specific unit inside your property portfolio.
- Tenant: Select the primary leaseholder from your Tenant Directory. If they don't exist yet, you must Add a New Tenant Profile first.
[!TIP] Handling Conflicts: Landager chronologically tracks history. If you select a Unit or Tenant that currently possesses an active lease, a warning module will appear. Checking the "Terminate Existing" box tells the system to automatically, safely close the old ledger exactly one day before your new lease begins—guaranteeing 0% reporting overlap.
Step 3: Define the Timeline
Landager operates on calendar timelines, not rigid status walls:
- Start Date: The day the tenant legally took (or will take) possession.
- Backdating: If you enter a date from 8 months ago, the system natively recognizes it as historical and prompts you to log past payments after saving.
- Future Scheduling: If the start date is next week, the lease will be placed in a dormant "Scheduled" status.
- End Date: The day the contract expires.
- Standard 12-month lease: select the exact end date.
- Month-to-Month: simply leave this field blank.
Step 4: Configure the Financial Terms
This section dictates exactly what the tenant owes and when:
Base Rent
- Rent Amount: Enter the monthly rent. (If you set a Base Rent on the Unit profile, this field will auto-populate).
Security Deposit
- Security Deposit: Enter the fully refundable deposit amount collected at move-in.
Late Fee Configuration (Optional but Recommended)
Protect yourself by configuring automatic late fee tracking:
- Late Fee Amount: E.g., $50.
- Late Fee Type: Choose Flat Fee or Percentage of Rent.
- Grace Period (Days): E.g., 5 days.
Step 5: Save the Lease
- Review the details carefully.
- Click "Save Lease".
What Happens Automatically?
The moment you click Save, the engine takes over:
- If Active: If the Start Date is today or in the past, the physical unit flips to Occupied and the Tenant becomes Active.
- If Scheduled: If the Start Date is in the future, the lease is parked. A background Cron job will wake up on the exact morning of the start date to activate the tenant and occupy the unit natively.
