The Screening Flow: Email → OTP → Form → Review

A complete walkthrough of the tenant screening process from the initial email to the landlord's review dashboard.

The tenant screening process in Landager follows a secure, four-step flow designed to verify identity and collect comprehensive information.

Step 1: Request Screening & Email Invitation

When you trigger a screening request from the Tenants page by clicking Request Screening, Landager sends an automated email to the applicant containing:

  • A personalized greeting
  • An explanation of what the screening involves
  • A secure, one-time link to the screening form

The email is sent from your Landager notification system and includes your property details for context.

Step 2: Email Verification (OTP)

When the applicant clicks the link, they first need to verify their email:

  1. The applicant enters their email address
  2. Landager sends a 6-digit OTP code to that email
  3. The applicant enters the code to confirm their identity
  4. If the code is correct, the screening form becomes accessible

This step ensures that only the intended recipient can access and submit the form.

Step 3: Screening Form Submission

After verification, the applicant sees a comprehensive, mobile-friendly form organized into sections:

Personal Information

  • Full name, date of birth, nationality
  • Phone number, current address

Identity Document

  • Document type (passport, national ID, residence permit, driver's license)
  • Document number
  • Upload of document scan or photo

Employment & Income

  • Employment status
  • Employer name (if applicable)
  • Monthly net income
  • Upload of proof of income (payslips, contracts, bank statements)

Rental History

  • Previous landlord name and contact information

Additional Details

  • Desired move-in date
  • Number of occupants
  • Pet information
  • Additional documents and notes

The form supports file uploads (images, PDFs, and Word documents) with a maximum of 5 files per upload field, each up to 10MB.

Step 4: Landlord Review

Once submitted, the application appears in your Screening Applications tab:

  • The applicant's status changes to "Submitted"
  • You click "View" to open a detailed review page at /dashboard/screenings/[id]
  • You can navigate through their Personal Info, Employment, Rental History, and view all uploaded documents.

Step 5: Decision or Resubmission

On the review page, you have three primary actions:

  • Approve: Automatically creates a formal Tenant profile using the verified data.
  • Reject: Marks the application as rejected.
  • Request Resubmission: If documents are blurry or missing, you can select specific requirements, attach a custom message, and send it back to the applicant to update.

Security Features

  • One-time links: Each link can only be used once
  • OTP verification: Confirms the applicant's email identity
  • No account required: Applicants don't need a Landager account
  • Encrypted uploads: Documents are securely stored
