Successful property management requires maintaining a CRM (Customer Relationship Management) mentality. You need to remember the small details about the humans living in your buildings.

The Notes Tab on a tenant profile provides a secure, private text area for exactly this purpose.

A Strictly Internal Tool

[!IMPORTANT] Tenants can never see these notes. Even if you export reports or send invoices, these notes remain strictly visible only to logged-in dashboard administrators.

Best Practices for Tenant Notes

Treat this space as your personal operational memory. We recommend logging:

1. Vehicle and Pet Data

Store identifying information that you might need to reference quickly:

  • "Drives a blue Honda Civic: License Plate ABC-123"
  • "Has one Golden Retriever named Buster, approx 60 lbs."

2. Behavioral Warnings and Interactions

If a tenant violates terms but you don't issue a formal legal notice, document the interaction here so you have a paper trail if the behavior escalates:

  • "03/15/2026: Called tenant regarding noise complaint from Unit 4B. Gave verbal warning about quiet hours."
  • "07/12/2026: Tenant paid rent 5 days late; waived late fee this one time due to medical emergency."

3. Gate Codes and Delivery Specifics

If the tenant specifically requests packages be left at a back door, or if their individual alarm code is handled differently, log it here.

4. The "Do Not Rent" Blacklist

Because Landager retains Past Tenant profiles indefinitely, this notes field is your insurance policy against bad actors. If an evicted tenant tries to apply for a different building three years later, entering their name will pull up their old profile, complete with your final note: "Violent eviction in 2024 involving law enforcement. Do NOT rent to this person again under any circumstances."

How to Edit Notes

To add or modify notes on a profile:

  1. Navigate to the tenant's profile via the Dashboard Directory.
  2. Click the Action Menu (three dots) in the header.
  3. Select "Edit".
  4. Scroll to the "Notes" section, update the text area, and click "Save Changes".
