While your dashboard prominently displays a Units in use card to track your physical units against your plan limit, you can track your tenant population directly on the Tenants page using the Active and Past filters.

Active vs. Past Tenants

  • All Tenants: You can view every single Tenant Profile that exists in your database by adjusting the filters on the Tenants page to show both Active and Past tenants.
  • Active Tenants: The Active filter shows only the people who have at least one currently Active Lease.

If you have 45 tenants in total but only 18 are active, it means you have 27 past tenants archived in your system. This is healthy—those records are preserved for historical tax accuracy.

Units in Use vs. Active Tenants

Your dashboard's Units in use card tracks how many physical units you have created against your plan limit, rather than your tenant count.

However, comparing your occupied units to your active tenants provides a useful cross-check. If you have 9 occupied units but your active tenant count only shows 8, it's possible one of your leases links to a tenant whose profile has an anomaly worth investigating.

Practical Uses

1. Staffing Decisions

If your active tenant count crosses 30, it might be time to hire a part-time maintenance coordinator.

2. Marketing Budget

If your active tenant count is dropping while your past tenant count is rising, it means you're experiencing churn—tenants are leaving faster than you're replacing them. Time to focus on marketing your vacant units.

3. Seasonal Patterns

Tracking Active Tenant counts month over month reveals seasonal patterns. University housing landlords will notice clear spikes in August/September and drops in May/June.
