How to Create a New Maintenance Request
Step-by-step guide to logging a maintenance work order. Link the request to a unit, set priority levels, upload damage photos, and assign vendors.
When something breaks in one of your units, Landager's Maintenance Request system helps you track the issue from initial report through to final resolution and billing.
Step 1: Open the Request Form
- Navigate to Maintenance in the sidebar.
- Click "New Request" in the top right corner.
Step 2: Link to a Unit and Tenant
- Property: Select the building.
- Unit: Select the specific unit experiencing the issue.
- Tenant: Optionally select the tenant who reported the problem.
Step 3: Describe the Issue
- Title: A concise summary (e.g., "Leaking kitchen faucet").
- Description: Detailed explanation including location within the unit, severity, and any temporary measures taken.
- Category: Select from Plumbing, Electrical, HVAC, Appliance, Structural, Pest Control, Landscaping, or Other.
- Priority: Set to Low, Medium, High, or Emergency.
Step 4: Upload Photos (Optional but Recommended)
Click "Upload Photos" to attach images of the damage or issue. Visual evidence helps vendors prepare before arriving on-site and provides documentation for tenant billing or insurance claims.
Step 5: Set Cost Estimates (Optional)
- Estimated Cost: Your best guess before the vendor provides a formal quote.
- Actual Cost: Leave blank for now—fill in after the repair is completed.
Step 6: Configure Tenant Billing (Optional)
- Charge to Tenant: Check this if the damage was caused by tenant negligence (e.g., clogged drain from flushing inappropriate items).
- Is Billed: Check this after you've collected the repair cost from the tenant.
Step 7: Assign a Vendor (Optional)
Select a contractor from your Vendor Directory or create one inline. The vendor's name and phone number will display on the request card for easy contact.
Step 8: Save
Click "Save Request". The request opens with a status of Open and appears on your Dashboard maintenance counter.
