Some maintenance tasks happen on a regular schedule — HVAC filter replacements, pest control visits, fire extinguisher inspections, landscaping, and more. Landager lets you automate these with Recurring Maintenance Schedules.

Accessing Recurring Maintenance

  1. Navigate to Maintenance.
  2. Click the "Recurring" tab at the top of the page (next to "Requests").

Creating a Recurring Schedule

  1. Click "New Schedule" on the Recurring tab.
  2. Fill in the schedule details:
    • Title — e.g. "HVAC Filter Replacement"
    • Unit / Property — select which unit this applies to
    • Category — Plumbing, Electrical, HVAC, Appliance, Structural, Pest Control, Landscaping, or Other
    • Priority — Low, Medium, High, or Emergency
    • Frequency — choose from Weekly, Biweekly, Monthly, Quarterly, Semi-Annually, or Annually
    • Estimated Cost — optional budget for each occurrence
    • Start Date — when the schedule begins
    • Vendor — optionally assign a vendor
    • Description & Notes — any additional context
  3. Click "Create Schedule" to save.

Frequency Options Explained

FrequencySchedule

Automated Email Reminders

When you set up a recurring schedule, Landager automates communication for you:

  • Vendor Reminders: If a vendor is assigned, the system automatically emails them 7 days before the task is due, ensuring they have advance notice to prepare.
  • Landlord Reminders: You receive an email reminder 2 days before the task is due so you can track progress.

Smart Completion Tracking

In the UI, an open request can be completed.

  1. Mark the open request as completed.
  2. Enter the Actual Cost incurred.
  3. Upload Task Photos/Videos (up to 30MB) of the completed work.
  4. Upload Invoices/Receipts (up to 10MB) for financial documentation.
  5. Optionally check "Charge to Tenant".
  6. Submit to complete the request.

This automatically logs the cost as an expense.
