Viewing a Tenant's Payment History
How to instantly assess a tenant's financial reliability by isolating their specific rent payment log using the Payments tab on their profile.
When determining if you should offer a lease renewal to a current tenant, their financial reliability is the single most important metric. The Payments Tab on a tenant profile isolates the global financial ledger down to just their specific transactions.
Accessing the Focused Ledger
- Open the Tenants directory.
- Click on the specific tenant's name.
- Switch from the default Leases tab to the Payments tab.
Analyzing the Payment History
This list displays every manual rent payment logged against a lease owned by this tenant.
1. Verifying Recent Payments
If a tenant claims they dropped off a check yesterday, you don't need to scroll through the global payments list looking for their name. Simply open their tab and check the top of the list for a "Pending" or "Completed" status on a recent date.
2. Identifying Chronic Lateness
By scanning down the "Date" column historically, you can quickly spot patterns. If rent is due on the 1st, but the majority of their logged payments sit between the 4th and the 8th of the month, you have actionable data regarding their reliability.
3. Reviewing Payment Methods
The list tracks the Method used for every transaction. If a tenant habitually pays via direct Bank Transfer but suddenly switches to dropping off Cash, keeping an eye on this tab helps you identify changes in their financial behavior.
Actions Available
This tab acts as a targeted window into the global ledger. Using the Action Menu on any payment row here allows you to quickly:
- Edit the payment (e.g., if a physical check bounces a week later, you can mark it as Failed).
- Delete a duplicate entry accidentally logged by an employee.
To log a new payment for this specific person, you must navigate to the global Payments screen and trigger the 'Add Payment' workflow.
