How to Record a Rent Payment

Step-by-step guide to logging a manual rent payment in Landager. Learn how to link payments to leases, set amounts, and track payment methods.

Landager uses a manual payment logging model. When a tenant hands you rent—via check, cash, bank transfer, or any other method—you record that transaction in the system as proof of receipt.

Step 1: Navigate to the Payments Page

  1. Click Payments in the left-hand sidebar.
  2. Click the "Add Payment" button in the top right corner.

Step 2: Link the Payment to a Lease

The first and most critical field is the Lease selector.

  • Select the specific lease contract this rent payment applies to.
  • Once selected, the system auto-populates the Tenant name, Property, and Unit associated with that lease.

Step 3: Enter the Financial Details

Amounts

  • Total Amount Due: The full amount the tenant is supposed to pay this period (typically the lease rent + any late fees or maintenance charges).
  • Paid Amount: The actual amount the tenant physically gave you. This can match the Due amount (full payment), be lower (partial payment), or higher (pre-payment).

Dates

  • Due Date: The date the payment was contractually expected (typically your global Rent Due Day).
  • Paid Date: The date you actually received the money.

Method

  • Select the Payment Method used: Cash, Check, Bank Transfer, Online, or Other.

Step 4: Add Optional Itemized Charges

If the tenant owes extra beyond base rent:

  • Late Fee: Enter the penalty amount if they paid past the grace period.
  • Maintenance Charge: Enter any repair cost billed back to the tenant.

These itemized charges stack on top of the base rent to produce the Total Amount Due.

Step 5: Add Notes (Optional)

Use the Notes field to record context:

  • "Paid via check #4521"
  • "Tenant requested a 3-day grace extension; approved."

Step 6: Set the Status and Save

Select the appropriate Payment Status (e.g., Paid, Pending, Late, Partial) and click "Save Payment".

The dashboard Revenue Snapshot will instantly update to reflect this new collection.
