Why Your Dashboard Numbers Might Fluctuate Mid-Month
Understanding why your Expected and Collected Revenue numbers change throughout the month, and when to worry versus when it's completely normal.
If you check your Revenue Snapshot on Monday, and then see a different number on Wednesday, you might panic. Don't. Mid-month fluctuations are intentional and should be expected.
Normal Fluctuations
1. Collected Revenue Goes Up
This is the most common and most healthy fluctuation. As tenants pay rent throughout the first week of the month, every logged payment increases your Collected Revenue total in real time.
2. Expected Revenue Goes Down
If a tenant moved out mid-month and you terminated their lease, the system removes their contracted rent from the Expected Revenue calculation instantly. This can make it look like you're "losing" money, when in reality, your expectations are simply adjusting to a new physical reality.
3. Expected Revenue Goes Up
If you signed a brand new tenant mid-month and created their lease with a start date of today, the system immediately adds their contracted rent to the Expected Revenue total.
Abnormal Fluctuations (Investigate These)
1. Collected Revenue Goes Down
This is rare but can happen if you edit or delete a logged payment. If someone on your team accidentally deleted a $1,200 payment entry, the Collected Revenue will drop by exactly that amount. Check the Activity Feed for recent deletions.
2. Large Unexpected Spike in Expected Revenue
If Expected Revenue jumps by $5,000 overnight, someone may have accidentally created multiple duplicate leases. Navigate to the Leases page and check for suspicious entries created in the last 24 hours, filtering by newest first.
The Key Lesson
Your dashboard is a live, real-time reflector of your database state. It doesn't lie, hallucinate, or delay. If a number looks wrong, the underlying data was either entered incorrectly or a legitimate operational change occurred that you forgot about.
Always trace fluctuations back to the source by checking the Recent Activity Feed.
