Viewing All Leases for a Specific Property
How to use the master Leases page and table sorting properties to instantly generate a rent roll report for a specific multi-unit building.
While you can technically view the active status of units by opening a single Property's Detail View, the most powerful way to analyze the financial health of an entire multi-unit building is by looking at its leases directly.
How to Generate a "Rent Roll" View
If you are managing "Sunset Towers" (a 10-unit building) and need to see exactly who lives there, what they pay, and when their leases expire, you can use the master Lease list to generate a localized rent roll in three clicks:
- Navigate to the global Leases page.
- Using the Status filter at the top of the table, select "Active" to hide all historical, expired contracts.
- Click into the Search bar, and type the name of the building exactly as it appears (e.g., "Sunset Towers").
The table will instantly filter down to show only the currently active, revenue-generating contracts for that specific piece of real estate.
Analyzing the Filtered Data
With this targeted view, you can rapidly conduct high-level portfolio analysis:
1. Identify Rent Discrepancies
By sorting the Rent Amount column descending, you can instantly see the disparity in your pricing. If Unit 1A is renting for $1,200 but identical Unit 1B is renting for $900, you immediately identify an underperforming asset that needs an aggressive market adjustment when the lease turns over.
2. Prepare for Turnover Surges
By sorting the End Date column ascending, the table reveals your upcoming vacancy schedule. If you notice three of Sunset Towers' active leases all expire in the exact same week next August, you can proactively reach out to those tenants in June to negotiate renewals and stagger their new end dates, preventing a massive hit to your cash flow.
Why Not Just Look at the Units Tab?
The Units Tab on a Property Detail view is designed for physical analysis (e.g., "How many doors are vacant today?").
The targeted Leases list view is designed for contractual and financial analysis (e.g., "When do these specific legal obligations terminate, and what is the exact cash value of this building's current active contracts?").
Both are critical tools for effective property management.
