Tenant Billing Flags: Charge to Tenant & Is Billed

How to use the tenant billing checkboxes on maintenance requests to track when a repair cost should be passed to the tenant.

Not every repair is the landlord's responsibility. When a tenant causes damage through negligence (e.g., flushing diapers down the toilet), the repair cost should legally be passed back to them. Landager provides two checkboxes to track this billing process.

The Two Flags

1. Charge to Tenant ☐

When to check: The moment you determine the repair cost should be the tenant's financial responsibility. Example: A plumber removes a toy from a drain pipe. The tenant's child flushed it. You check "Charge to Tenant" because this is negligence, not normal wear-and-tear.

2. Is Billed ☐

When to check: After you have successfully collected the repair cost from the tenant (or added it to their next rent payment). Example: You informed the tenant they owe $175 for the plumber. They agreed. You added a $175 Maintenance Charge to their next rent payment entry. Once that payment is collected, you return to the maintenance request and check "Is Billed."

The Billing Workflow

  1. Repair occurs. You log the maintenance request with the Actual Cost.
  2. You determine the tenant caused the damage. You check "Charge to Tenant".
  3. You inform the tenant of the charge (verbally, via email, or in writing).
  4. When logging their next Rent Payment, you add the repair cost as a Maintenance Charge line item.
  5. The tenant pays the full amount (rent + repair charge).
  6. You return to the maintenance request and check "Is Billed" to close the billing loop.

Why Two Separate Flags?

The two flags create a deliberate gap that serves as a built-in "to-do" reminder.

If a request shows "Charge to Tenant = ✅" but "Is Billed = ☐", it means you've identified the charge but haven't collected it yet. You can filter your maintenance list for this exact combination to generate a collection punch-list of outstanding tenant charges.
